Google's online-based calendar program can sync with a number of desktop calendar programs you might already use. Different applications sync to Google in different ways.
Google Calendar will sync with Microsoft Outlook through a specific sync program you must download and install. However, as of July 2010, it is compatible only with Outlook versions 2003 and 2007 on Windows XP or Vista and can't be used with Outlook 2010 or Windows 7.
Programs such as iCalendar and Sunbird use a private link from Google you can retrieve for each of your calendars on Google. Other desktop calendar programs, including Apple devices, just need to connect to your Google Calendar using your Google email and password.
Sync With Microsoft Outlook
Download Google Calendar Sync at the download link (see Resources). Click “Save File” and press “OK” if you're asked if the executable file should be allowed.
Follow the steps of the installation, agreeing to the terms of service and clicking “Install” to finish.
Open Google Calendar Sync. Enter your Google email and password.
Choose how the programs will sync: two-way, with both syncing to each other, or one-way, with Google syncing to Outlook or vice versa.
Choose how often the programs will sync in minutes. Press “Save.”
Sync With Apple iCalendar or Mozilla Sunbird
Navigate to Google Calendar (see Resources) and log in. Click the down arrow next to the calendar you wish to sync. Select the calendar “Settings” and select “Calendar settings.”
Scroll down to “Private Address” category. Click the “ICAL” button. Copy the address that appears. Don't use the “Calendar Address” unless your calendar is public.
Load iCalendar. From “Options” select “Calendars.” Click “Add calendar.” If using Sunbird, from “File” select “Import.”
Choose a name for the calendar, Under “File:” Select “http://” from the drop-down menu and paste the address you copied from the Google Calendars. If using Sunbird, just copy the address after “File name.”
Click “Update now” and then “OK.” If using Sunbird, click “Open” and choose a calendar to which to import the events.
Sync With Other Desktop Calendars or an Apple Device
Open the desktop calendar. Look for option to “Add” or “Import” other calendars, probably under “File” or “Options” of the main toolbar. For Apple devices, open “Settings” then “Mail, Contacts, Calendars.”
Choose “Google Calendar” if you're given an option of potential calendar sources. For Apple devices, Select “Other” and “Add CalDAV Account.”
Enter your Google email and password for your Google Calendar and press “OK.” For Apple devices, enter also “google.com” in the “Server” field.
Customize how the program handles the Google calendars, potentially choosing different color and font choices and sync frequency and direction, You may have to select which Google calendar you want to import, if you have several.
Sync the calendar or press “OK.”
