Overcome Revenue Procrastination and Watch Your Grow

Procrastination is behavior based on a whole set of assumed negative outcomes, fueled by an inner critic, which preys on our vulnerabilities and insecurities.

Many entrepreneurs unwittingly sabotage their success by procrastinating. They delay launching websites, products and services, or making decisions about investing in their business for all sorts of reasons - 'the timing is not right', 'the content needs work', 'more research or information is needed', 'what if I fail?'

When you run your own business this is entirely understandable as any negative feedback on the finished outcome, or failure, can be seen as a very personal reflection of your ability.

However, money responds to speed. By not taking action fast enough you could be losing potential revenue opportunities.

The most successful entrepreneurs learn and implement a new idea immediately. They will get their product or service to market faster than the competition and adjust, amend or tweak along the way. They know that getting something done, even if not perfect, is good enough.

If you know that procrastination is keeping you stuck and you could kick yourself that someone else got there before you, then now is the time to "Just do it" as Nike would put it!

Here are 5 tips to help you in the words of Martin Luther King "Take the first step in faith. You don't have to see the whole staircase. Just take the first step".

1. Don't overwork any new product or service before launching it. You will just lose energy and momentum and it will show up in the final results. Actively demonstrating the value of your service and product to your clients, with enthusiasm and excitement, is an important first step.

2. Let go of perfection - it doesn't really exist. There will always be room for improvements! By taking action you will soon get feedback on what does and doesn't work. Then you can make changes and amendments from a place of knowledge and experience.

3. Do the tough task first as it does get easier. You can set yourself a time limit, take short breaks and set up mini rewards along the way. Just imagine how good you'll feel when it's done.

4. Be accountable to someone else, whether this is a colleague, friend or coach. Making the commitment to achieve something within a realistic timescale and communicating this in writing or verbally will set your wheels in motion.

5. Don't be afraid to stop a project if it isn't working out. Being in business means from time to time making painful decisions about whether to continue with a piece of work. This can be tough when you may have invested a lot of your own time and money. But if your energy and focus is on something which is going nowhere fast, then you could be using this as an excuse for not putting your attention on what could be a more profitable product or service.

When you face up to when and where you are procrastinating, and are prepared to put one foot in front of the other despite your fears, you will feel much more in control. And that's when your business will really start to take off.

Where to Find Your Ideal Clients

When I first started my coaching business, I was so happy when someone indicated they wanted to work with me, that I took them on as a client-no questions asked. Why? Because in those days, I needed the work, and I would sign up practically anyone. But I quickly learned (the hard way) that a business or practice full of clients that are not ideal, makes for a pretty challenging and unrewarding business.

Now that I've spent the time learning and studying who my ideal client type is, I have a coaching business FULL of the best clients in the world! I've shared in previous newsletters and blogs about how to determine who your type is. This is the first place to start, but once you've determined "who" they are-now-how are you going to find them?

Here are some ideas on "where" to find your ideal clients:

1-You must learn everything you can about your ideal client. What do they read, where do they network, what LinkedIn or Facebook groups do they belong to? It's always interesting to me to see so many entrepreneurs who "hang out" or network with groups of people just like them! You're probably not going to get a new client if you are spending time with other entrepreneurs or consultants (unless of course, they are your target market and ideal type). Find out what networking group attracts your type and go there!

2-What associations might be host to your ideal client type? While it's fun to hang around our peers and colleagues at associations and conferences, if they are not your ideal type, it's a bit of a waste of time. Make a list of four or five associations your clients might attend and make a point of attending or going to their annual meeting or dinner to network. Try to speak at one or two of these associations meetings or conferences-this is another great way to get in front of a lot of your clients at one clip.

3-Join social media groups where your ideal clients may be spending time. Get involved in the discussions and conversation and consistently provide valuable content on these sites. Again, its fine to spend time with your own industry groups, but it's even better (and probably more lucrative) to spend time in your ideal client's worlds.

How to Cheat in Highschool

When I first wrote about site inspections several years ago, I drew on my own personal experience as well as industry best practices. In working with clients and venues over the past few years, I have seen several important changes in the way things work, so I took this opportunity to update the article with fresh ideas and new concepts.

Occasionally I meet with a client who is planning a meeting or event, but balks at the notion of having me perform a site inspection. The rationalization goes like this: "There's no need for you to fly out to City X to do site inspections, is there? After all, we more or less know where the meeting should take place. A recognized chain or major hotel in the middle of the city - there are only four or five possibilities, so just pick the best one. No need to spend the time or money for you to go there in person."

Poor client - they don't understand that there is probably no better way to spend time and money than to do a proper site inspection. In fact, it's my opinion that if a planner doesn't do a live site inspection, they are not doing their job in finding the right venue for their client's meeting. In today's world of the internet most of the pertinent information can be obtained online for hotels and venues, or by receiving a proposal in response to the RFP we distribute. Websites are all about the pretty pictures and featuring the best side of the property, but that's not always the reality. What you don't get online or through a few phone calls with the sales manager is the "real" experience of the property.

Naturally, we do our homework to develop a list of potential properties and distribute a detailed Request for Proposal (RFP). Once we have received all proposals we short-list properties that met our initial criteria - preferred dates, rates, availability of sleeping rooms, meeting and meal space, amenities and the like. We can also find out, through corresponding with the sales manager, cost estimates for initial budgets, whether the property is planning any renovations during our desired time period, and what other groups might be in-house at the time.

But only a site inspection can answer the deeper questions that relate to the ultimate success of the event: the staff, the sleeping rooms, the meeting rooms, and overall atmosphere and ambiance of the venue. Let's face it - many properties look good on paper or online, but the in-person visit tells the real story. Even if you have stayed at a property in the past, things might have changed - staff or ownership changes, more wear and tear is showing, renovation projects current or planned - nothing stays the same forever. Most importantly, each client and program has specific requirements that must be factored in and should be looked at individually with a fresh set of eyes - what was good in a venue for a program last year might not work for a new client's program in six months.

When I conduct site inspections I follow a detailed methodology that includes several aspects of the property, to give me a strong feeling for the best venue that will satisfy the needs of my client and their program. Let's face it - they are spending a lot of money on their event and it's our job as the planner to ensure that they get the right venue for the overall success of the event.

Basic Branches of Physics

It has now returned to TV and as any fan of The Apprentice will know, it's often the case that when the role of Project Leader is up for grabs, many of the wannabe protégés either suddenly become very quiet, or they very keenly put themselves forward... perhaps in part due to naivety!

Now, I know the show is pretty far detached from what actually goes on in real-life, and their version of the 'Project Manager' role might well be as well, however this situation does highlight how leading a team involves a certain amount of responsibility and interpersonal skills, as well as 'putting your neck on the line'!

While mishaps along the way might not mean the equivalent of a 'fast track to a boardroom showdown', project management can be quite stressful because when projects are delayed, or overbudget - or even fail - then it's usually the Project Manager who is held to account... "You're fired" springs to mind... rightly or wrongly!

Below are just a few situations and the differences in how 'The Apprentice Wannabes' typically deal with them and how the PRINCE2 Method and/or the APM Body of Knowledge (APM BoK) would handle it...

Situation

The team are at logger heads and two or more in the group can't agree on what would make their solution acceptable.

The Apprentice Response

Naive Project Leader arrogantly goes for what they think is the best solution, because they are the Task Manager after all and are obviously in charge! Never mind what the outcome is, or what it looks like, just get 'something' created!

PRINCE2/APM BoK Response

Assignment Manager should apply the appropriate interpersonal skills such as conflict management and negotiation. (APMBoK).

Create a Task Product Description stating the agreed scope, purpose of and acceptance criteria for the solution. Raise an issue and escalate to the Assigned Board to resolve any requirement conflict if agreement can't be made and the situation is out of the Project Manager's control/remit. (PRINCE2).

Situation

No one knows what they are meant to be doing and why, or who they should liaise with regarding what.

They all have very different and conflicting ideas and are very much in competition with each other rather than working collaboratively as a team.

The Apprentice Response

They simply aimlessly get on with the work which they believe the Project Manager has instructed them to do and then collectively blame the Project Manager when it proves to be wrong and the outcome is unacceptable!

Costing You Your Sports

A while back, I wrote about how "Being Responsible" may be crimping our creativity. My bone with "responsibility" doesn't end there. It has become apparent to me, as I work with clients who have more of a "nurturing" inclination, "responsibility" can be costing them financially in their businesses.

Let's start with our conditioning, what we have been told as "good", and how we try to get approval and acceptance by doing what others are considered to be "good."

Even though we were conditioned to consider "being responsible" as a "virtue", few were taught where to draw the line. What responsibilities do we pick up? Where do we draw the line? How to discern the "should's" from what truly comes from our heart, that we really do want to take on?

We got slapped with the big words "responsibility" and were left to figure it out on our own at some tender young age. (How Irresponsible was that??!)

We were praised for taking on responsibilities, so in order to gain approval and acceptance (we all do, to a certain degree, that's human nature) we sometimes say "yes" to things that are not ours to take on.

What have you taken on that are NOT yours to bear? Look at the baggage you are dragging around... are you carrying other people's crap mistaking it as your own?

"Responsibility" and Codependency

Being "responsible" out of "being good" or "being approved/loved/accepted" may set off the booby trap of codependency that will cause you not just your sanity but also potentially your business.

People with a predisposition to be a codependent enabler often find themselves in relationships where their primary role is that of rescuer, supporter, and confidante. These helper types are often dependent on the other person's poor functioning to satisfy their own emotional needs. Codependency often involves placing a lower priority on one's own needs, while being excessively preoccupied with the needs of others. (Wikipedia)

Codependency can show up as:

Undercharging - you feel responsible for giving everyone access to your service and you have the belief that you can "help more people" by charging less. (You are trying to give everyone your stuff whether they want it or not - and this, is a violation of the other person's boundary.)

Over-delivering (e.g. going overtime or providing "out of scope" deliverables without being compensated, writing pages after pages of support emails, "throwing in" extras) - you feel responsible for your clients' results even though they need to do the work to succeed. Because you feel responsible, you would bend over backwards - compromising your own boundaries in order to "help" that person with the misconception that somehow, you can do the work for your client (Remote kale-eating, anyone?) (By the way, the client may or may not want to be helped, so in a way, you are violating that her personal choice.)

Constantly discounting - you buy into the client's money stories and somehow made felt responsible that your fee will turn into the cause of her distress so you discount to make yourself feel better. (By the way, you have no rights to decided for the other person what she can or cannot afford... it's her priority and her decisions to make.)

Tap the 'House-Buying Generation'

A few weeks ago, the National Association of REALTORS® (NAR) reported that despite an improving job market and low interest rates, the share of first-time buyers fell to its lowest point in nearly three decades.

NAR added that this is preventing a healthier housing market from reaching its full potential.

Well, anyone who knows me knows that if anything, I'm an optimistic guy. This news doesn't discourage me in the least. And it shouldn't discourage you either. Why? Because research points to an upcoming generation of first-time homebuyers who will make you glad you're in real estate. The generation? Millennials - those born in the early1980s to the early 2000s.

A new report from Nielsen and the Demand Institute is dubbing Millennials as the "the house-buying generation."

The report says Millennials will spend around $2 trillion on home purchases and rent in the next five years. Today there are only about 13 million Millennial households in the U.S., but by 2018 that number will rise to 22 million. More than eight in 10 plan to own their own home someday. And the suburbs and areas surrounding large metropolitan areas are going to remain important destinations. The report adds: "Communities that can fuse the best of urban living (e.g., convenience and walkability) with the best of suburban living (e.g., good schools and more space) will thrive in the coming decade."

So the question becomes, how do you reach Millennials? Here are a few tips:

Think search - Younger buyers start the home-buying process via internet searches. Google reports half of all Millennials in the United States visited real estate websites this summer. Investing in search engine optimization is likely money well spent. And, register your business on local business directories and review sites so you can be found online. Also, choose a technology partner that offers responsive web design solutions such as Homes.com.

Think mobile - So exactly how did those Millennials search real estate? Mostly on their mobile devices. In fact, a full 26 percent of younger buyers who ultimately purchased a home, found that home via a mobile device, according to NAR. Be sure your website and all digital communications are viewable on mobile devices.

Think testimonials - Millennials don't trust advertising so they look to more trustworthy sources. In fact, 95 percent reported their friends are the most credible source of information. Take time to get testimonials from clients and use them in all of your communications.

Think social - Millennials spend an average of 3.2 hours a day on social media, so stay active on these channels and share helpful content that prompts them to engage with you and become an advocate.

Think helpful - In the last tip, I mentioned helpful content. For Millennials, this is vital. Millennials are prudent and take more time than other age groups to research their next home - often starting their search six months in advance of buying. That means they're seeking relevant and helpful information. Be sure your communications provide valuable information about the home-buying process. Consider offering new home buyer guides and mortgage checklists.

Boon or Bane for Today's Businesses

A virtual office combines professional work with the blend of a home feel to gain working efficiencies in both forms. Of course, with the good there are some elements of the bad; it is rather easy to point out the advantages and benefits of a virtual office when compared to a serviced office space. Some of the perceived disadvantages of a virtual office arise mainly from the fact that is requires 'telecommuting' of employees through a virtual office.

• The flexibility in functioning from an assortment of locations can be sometimes less advantageous.

• Lack of a central office or base for employees to interact on a business level as communication problems from location to location may arise due to complete dependency on technology

• Not a good solution if employee interaction and meetings with associates on a daily basis is required in a physical office setup.

Secrets of Bonding 130: Borrow From Peter to Pay Paul

It's only human nature. You have a problem, a need. A financial issue has come up and the timing is inconvenient. So if you just move things around, you can handle the problem and back-fill later.

For construction companies managing multiple projects, not every job goes smoothly. Construction work is complicated with many variables and uncontrollable elements. Sometimes the only solution is to throw money at the problem. When cash flow on the project is "temporarily" insufficient, there is a natural temptation to borrow money out of another healthier contract, with the intention of paying it back at a later date. Is this bad?

Trust Funds

From a legal standpoint, money a general contractor (GC) holds, that is destined to pay the subcontractors (plumber, electrician, HVAC, etc.) he hired on the project, is held "in trust" for the benefit of those subs. The law says it is their money, and the GC must safeguard it. Therefore, any money in this trust fund category cannot be "loaned" to another of the company's projects.

Bonded Contracts

When a Performance and Payment Bond covers a contract, the payment section of the bond guarantees that suppliers of labor and material will be paid. This includes the subcontractors that were hired by the GC. The bonding company is guaranteeing that the trust funds will make it into the hands of the subs.

If money has been diverted into another project by the GC, and subs remain unpaid, they are entitled to make a claim against the payment bond. Sureties are risk averse and strive to avoid all bond claims. Underwriters are well-aware of the "Peter Paying Paul" scenario where the funds are never restored and a payment claim results.

Protective Measures

Bonding companies may take steps to prevent such misapplication of funds. One is Joint Checking. Under this procedure, the project owner (paying for the work) issues joint payee checks in the name of the GC and the sub or vendor. Now there is absolute certainty that the funds will get to the sub as intended.

This procedure does not cost money to implement (other than the administrative expense), but is dependent on the willingness and continuing participation of the project owner.

Another protective device is the use Funds Control, also called a Funds Administration. Think of this as a professional paymaster who pays everyone on the project, including the GC. Money goes from the owner to the funds administrator, who then issues all the checks. By avoiding the GC's handling of the money, there is no risk of funds flowing to another contract.

The funds administrator charges a fee, which is paid by the GC. For this procedure to be successfully implemented, the owner must officially agree to pay the funds administrator instead of the GC.

Conclusion
