When cleaning your Gmail inbox you have three options available. You can delete emails that are not important if you are sure that you won't need them again. You can also archive messages you might need in the future but don't want cluttering up your inbox. Finally, you can label messages to remove them from your inbox and place them under a labeled folder for easy access in the future.
Log in to your Gmail account and click "Inbox" to view the first 50 emails in your inbox.
Click the check box to the left of all the emails in your inbox that you want to delete. Click the "older" button, styled like an angle bracket, at the top of the inbox to view older emails in the inbox.
Click the "Delete" button, styled like a trash can, to move the unwanted emails to the "Trash" folder. Gmail automatically deletes these messages after 30 days
Click the check box to the left of all the emails in your inbox that you want to archive.
Click the "Archive" button -- styled like a file cabinet drawer with a downwards pointing arrow on it -- to move the selected emails to the "All Mail" label. Access these messages by clicking the "All Mail" label on the left of the Gmail page.
Click the check box to the left of all the emails in your inbox that you want to label.
Click the "Label" button -- styled like a label tag --- and then click "Create new" from the list of options.
Enter a name for the label, for example "Invoices" and then click the "Create" button.
Click the "Move to" button to the left of the "Labels" button and then click the name of the label that you assigned to the selected emails. Gmail moves the messages from your inbox to the selected label, which is accessible from the left of the Gmail screen.
Tips & Warnings
To delete, archive or label multiple emails in your inbox without manually scrolling through every message, use the search box at the top of the page. Use the "in:inbox" operator to limit your search to emails in the inbox only. For example, to view all emails in your inbox from Amazon, use the search term "in:inbox from:amazon.com" (without the quotation marks.) Click the "Select" button and then select "All" to select all messages before selecting "Delete," "Archive" or Label."
