Just as saved files take up available space on your computer's hard drive, emails use space on the provider's server. Each email provider designates limits for the available storage space of an email account, known as an email quota. Every email, as well as every attachment, that is sent or received through your account has a file size. When the accumulated size of these files reaches or exceeds the quota, you will be unable to send or receive further messages until storage space is cleared. You can check your mail storage size in just a few simple steps to determine if you are near your limit.
Open the email program for which you wish to check the storage size. Sign in, if required, to access your account.
Click once to highlight the main folder that contains all other sub-folders. In Microsoft Outlook, the main folder is titled "Personal Folders" by default. Microsoft Entourage references the main folder using your email address.
View storage size in Outlook by right-clicking on the highlighted folder and choosing "Properties" from the available menu. Click on "Folder Size" to view the total storage size of your email.
Access storage size in Entourage by selecting "Edit" and "Folder Properties." Click on "Storage" to view the total storage size currently used.
