One feature of the Internet Message Access Protocol (IMAP) is that it facilitates archiving, or backing up, of email messages. To honor corporate compliance policies, information-technology personnel routinely archive all email messages to a central location. File a request with your IT department to restore previously deleted messages to your email program's inbox. For personal use, however, you can archive IMAP messages on your home computer. The advantage of doing this is that you can back up older messages from your email program's inbox to a local directory (folder) on your computer, and later retrieve them if necessary.
Open Microsoft Outlook.
Choose "Tools" > "Options."
The Options dialog box appears.
Click the tab labeled "Other."
Click the button labeled "AutoArchive."
The AutoArchive dialog box appears.
Click the check box to enable the "Run AutoArchive every n days" feature, where n is the number of days that you want to back up your email. Click the up and down arrows to specify "n" days.
Click the check box to enable the "Move old items to" field, click the "browse" button, and navigate to the directory (folder) on your PC where you want to archive your messages.
Click the button labeled "OK."
